Scaled Solutions Co ("we", "us", "our") provides business automation, CRM setup, and advertising services to businesses on the Sunshine Coast, Queensland, Australia. This policy explains how we collect, use, store, and protect personal information, in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information we collect
We collect personal information in the following ways:
- Website enquiries. When you submit our contact form, we collect your name, business name, phone number, email address, and any message you include.
- Client onboarding. When you become a client, we collect business details needed to set up your systems — including your business name, contact details, Google Business Profile link, and details about the software you use.
- Automated systems data. The systems we build and manage on your behalf (such as missed call text-back, lead pipelines, and review requests) process the names, phone numbers, and contact details of your customers and leads.
- Client portal. When you log into your portal, we record your access for security purposes.
2. How we use your information
- To respond to enquiries and provide quotes
- To set up, operate, and maintain the automation systems you've engaged us to manage
- To run advertising campaigns on your behalf where you've engaged us for that service
- To provide reporting on how your systems are performing
- To communicate with you about your account and services
We do not sell personal information to anyone, ever.
3. Your customers' data
If you are a client, the automation systems we manage process information about your customers and leads (such as names and phone numbers) on your behalf. You remain responsible for ensuring you have an appropriate basis to communicate with those people. We process this data solely to deliver the services you've engaged us for and do not use it for any other purpose.
4. Third-party services
We use trusted third-party platforms to deliver our services. These include:
- HighLevel (GoHighLevel) — our CRM and automation platform, which stores contact and pipeline data. Their privacy policy is available at gohighlevel.com/privacy-policy.
- Formspree — processes our website contact form submissions.
- Meta (Facebook/Instagram) and Google — where you engage us for advertising services, campaign data is processed by these platforms under their own policies.
Some of these providers may store data on servers located outside Australia (including the United States). By using our services, you consent to this overseas handling where it is necessary to deliver the service.
5. Storage and security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access. Access to client systems and data is restricted, portal access requires a unique access code, and we use the security controls provided by our platform providers. No method of transmission or storage is completely secure, but we work to keep risk as low as practicable.
6. Cookies and analytics
Our website may use basic cookies or similar technologies for functionality. Our client portal uses session storage in your browser solely to keep you logged in during a visit — this is cleared when you close the tab and does not track you across other websites.
7. Access and correction
You can request access to the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We will respond within a reasonable time. If you are a customer of one of our clients and want your data removed from a system we manage, contact us and we will action it with the relevant client.
8. Marketing communications
Any SMS or email sequences we operate include the ability to opt out (for example, replying STOP to an SMS). We comply with the Spam Act 2003 (Cth) in all electronic communications we send or manage.
9. Data retention
We keep personal information only as long as needed for the purposes described in this policy, or as required by law. When a client ends their service with us, their system data is deleted or returned within a reasonable period upon request.
10. Complaints
If you believe we have mishandled your personal information, contact us first and we will work to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
